The Role
- Operational Excellence & Leadership: Recruit, onboard, and empower a high-performing team of event planners. Direct daily operations, workload allocation, service quality, and SLA compliance to ensure consistent execution excellence
- Strategy & Capability Launch: Partner seamlessly with the Director of Strategy & Business Development and Services Delivery Leads to design, launch, and continuously refine operational frameworks for home-office organized HCP events and major congresses
- Customer Account Support: Serve as an operational anchor for Customer Account Teams, driving new customer large event initiatives, process alignment, joining Quarterly Business Reviews (QBRs), and pre/post-conference briefings
- Vendor & Technology Ecosystem Governance: Vet, onboard, and manage 3rd-party event technologies, agencies, and vendors to build a best-in-class, scalable outsourced support network
- Compliance & Financial Oversight: Direct event budgets, operational reporting, risk escalation, and financial health. Develop robust SOPs, operational workflows, and strict compliance protocols across all customer programs
- Executive & Customer Engagement: Co-lead high-stakes new business pitch presentations, operational reviews, and strategic alignment sessions with customer executives and internal leadership
- 8+ years of progressive operational leadership experience within pharmaceutical/biotech companies or top-tier healthcare marketing/event agencies managing complex HCP events and major congresses
- 3+ years of direct experience recruiting, developing, and leading high-performing event planning teams
- Customer Service Excellence: Dedicated commitment to delivering an extraordinary customer experience, with proven mastery in customer relationship management, rapid escalation resolution, and maintaining flawless SLA standards
- Commercial & Strategic Savvy: Proven success collaborating with Strategy, Sales, and Customer Account leadership to drive account growth, customer retention, and SLA excellence
- Operations Architect: Demonstrated ability to build SOPs, design scalable operational workflows, manage vendors, and handle financial oversight
- High-Stakes Problem Solver: Outstanding conflict resolution, project management, and critical-thinking skills in fast-paced, high-pressure environments
- Tech-Savvy Operational Lead: Hands-on experience with enterprise event technologies (e.g., Vault Events Management, Cvent, virtual event platforms) and advanced mastery of Microsoft Excel and PowerPoint
- Executive Presence: Exceptional communication, storytelling, and presentation skills with the ability to engage, persuade, and build trust with senior stakeholders
- Veeva Product Experience: Direct experience with Link Workflow, Vault CRM Suite, or Vault CRM Events Management platforms
- Specialized Background: Prior leadership experience directly within a Life Science Company or a premier Life Sciences Event Agency managing complex HCP engagements and congresses
- Industry Credentials: Certified HMCC (Healthcare Meeting Compliance Certificate)
- Compliance Mastery: In-depth knowledge of compliance guidelines, Sunshine Act reporting, and FMV standards for HCP engagements
- Agency Governance: Proven experience managing large-scale congress budgets and external third-party meeting management agencies

- Base pay: $120,000 - $150,000
- The salary range listed here has been provided to comply with local regulations and represents a potential base salary range for this role. Please note that actual salaries may vary within the range above or below, depending on experience and location. We look at compensation for each individual and base our offer on your unique qualifications, experience, and expected contributions. This position may also be eligible for other types of compensation in addition to base salary, such as variable bonus and/or stock bonus.
